Marketing & Events Coordinator Position Overview:

Common Threads is seeking a highly motivated Marketing & Special Events Coordinator to support fundraising events and marketing/ communication, with the goal of raising awareness and funds to support our culturally relevant nutrition education and healthy cooking programs in thirteen U.S. communities. This is a full-time position that may be based either Austin, Chicago, Miami or NYC, and reports to the VP of Development.

Events: CTís Development team, Boards, and regional staff throw 2-4 major fundraising events per year, as well as smaller cocktails/ receptions, and panel discussions. Additionally, external parties (restaurants, fitness facilities, our funding partners) periodically designate CT as the beneficiary of special events or promotions. This position provides project coordination and marketing support for CT colleagues, Boards, event vendors, chefs, volunteers, and pro-bono PR and design firms.

Communications: In addition to supporting communications materials and project activities around our events and 3rd party promotions, the Marketing & Events Coordinator manages social media for CT; creates content and language for fundraising campaigns and appeals (Summer Health campaign, End of Year Fundraising Appeal, etc.); creates content for, edits and proofreads major Comms materials including CTís Annual Report, annually updated Media Kit; and ensures CT partners and funders are appropriately recognized in our website, in social media, at events, etc.

The Marketing & Events Coordinator is a detail-oriented project manager who also loves working collaboratively with colleagues and external partners, vendors, PR teams, and volunteers to maximize results. You are a great writer and a better editor, attuned to tone so you can represent CTís organizational Ďvoiceí, and competent and comfortable with basic (Illustrator, In Design, Photoshop) graphic design and working collaboratively with internal teams to maximize results. This role continually furthers Common Threadsí mission by focusing on communication and event efforts that support fundraising and development, awareness raising and brand recognition, and thought leadership positioning.

Responsibilities:

  • Project manage event planning and production - with CT board(s), local Program leads, Development staff, Volunteers, and contracted external event planners as needed.
  • Liason to 3rdparty events or promotions thrown by outside parties to benefit CT
  • Create or work with external design/ PR firms to create and approve event collateral - save the date(s), invitation(s), web pop-ups and landing pages, ticket sales pages, etc.
  • Ensure appropriate recognition of sponsors and partners, Host Committee members, and Honorary Hosts in event collateral and in activations
  • Coordinate with local CT board(s), Program leads, and Development staff as needed to execute Panels or participation in thought-leadership engagements and activations to raise CTís profile in our markets and with our networks
  • Create quarterly Partner Newsletters to showcase top funders and national activities
  • Compile testimonial and photo montages and/or activity summaries according to program or city, to share with funders for fundraising development stewardship and support
  • Mange content and posting for CT social media: Facebook, Twitter, Instagram in coordination with external PR firm
  • Support Communications Calendar in coordination with external PR firm
  • Support messaging to key stakeholders with other CT staff incuding: monthly newsletter to public, monthly newsletter to board members
  • Write award nominations and proposals for 3rdparty event participation

Skills and Experience:

  • Excellent writing, story-telling, layout, editing, and proofreading skills Flawless grammar, spelling and diction are required, as is poise and enthusiasm for getting it right
  • Experience with special events is highly desired; experience with project management or coordination involving multiple stakeholders is required
  • Candidate should be comfortable working under deadline, and should be able to synthesize information from multiple disparate sources with speed and accuracy
  • Formal design training not required but an interest in design and attention to how communication product look is essential
  • Very strong organizational, time management and logical thinking skills
  • Self-motivated and confident with outstanding communication skills, both verbal and written
  • Must be able to effectively prioritize, executing multiple assignments and consult with other staff; external partners, vendors, and volunteers; and supervisor as necessary to move projects forward
    • Highly motivated, personable, articulate and diplomatic
    • Ability to work within a mission-driven environment to develop professional and respectful relationships with people both internal and external to Common Threads 
    • Ability to work in a small office setting and balance many projects and tasks simultaneously

Minimum Qualifications:

  • Bachelorís degree required - Communications, PR, hospitality, nonprofit or similar field preferred
  • Two years of professional work experience managing projects and relationships
  • Demonstrated experience with project and account management
  • Strong communication and collaboration skills
  • Experience with vendors, volunteers, and/or media or PR
  • A commitment to the mission and values of Common Threads
