Development & Operations Assistant Overview:

The Development & Operations Assistant will be instrumental to the successful daily operations of Common Threads. This position plays a key role in ensuring our donors and funders are supported and recognized, and supports the daily operations of Common Threads Development team and, as needed, the CEO and other staff engaging in fundraising and external relations activities. The Development Assistant is responsible for recordkeeping for the development team, coordinating travel, meetings and conferences; maintaining organizational documentation; and performing other tasks as assigned. This position will handle sensitive information and deal with a diverse group of important external stakeholders as well as internal contacts at all levels of the organization.

This job is suitable for a self-starter who enjoys keeping things running smoothly, proactively solving problems and getting tasks done. You must be detail-oriented, trustworthy, and able to clearly communicate with the CEO and other staff members.

The Development & Operations Assistant will work out of the Austin, TX office and will report directly to the VP of Development. This position receives 11 paid holidays, 3 weeks of PTO (earned prorated over the year), is eligible for full benefits on the first day of the month after 60 days of service and is eligible for 401(k) participation and match after one year of service. 


  • Assist with communication with the National Board
  • Support the Development team in maintaining and updating donor information - including contact info, gifts, and negotiations - in our donor database (CRM)
  • Record and track fundraising revenue through the CRM
  • Send acknowledgement letters to donors
  • Coordinate email blasts and/or send individual invitations to events or networking opportunities as part of donor cultivation and stewardship process
  • Support other donor stewardship activities on behalf of Development team (thank you gifts, class invitations, website recognition of donors and funders, etc.)
  • Work with the accounting department to ensure proper recording of all gifts, donations & pledges
  • Assist Marketing & Events Coordinator, Boards and Development team with national fundraising events
  • Schedule and organize meetings, travel, and conferences
  • Provide administrative support to the Executive Team (e.g., managing calendars, obtaining supplies, coordinating direct mailings, etc.)
  • Manage the info@commonthreads email account, Answer the general phone line
  • Organize and prioritize large volumes of information and calls
  • Develop, manage, and train others on office protocols and processes

Development Assistant Qualifications:

  • Experience with Salesforce software highly desired
  • Bachelorís degree preferred; High School Diploma required
  • 2+ years of relevant office experience
  • Experience working in non-profit organizations, or running the business office for a small but fast-paced organization
  • Extremely detail-oriented and organized with exceptional time management skills
  • Track record of maintaining confidential information
  • Ability to work independently with confidence and outstanding communication skills, both verbal and written
  • Technologically savvy and comfortable learning and utilizing new technology
  • Ability to work within a mission-driven environment to develop professional and respectful relationships with people both internal and external to Common Threads
